General Information

How will You manage large scale events?

Generally we assign a producer overlooking all tasks and activities from start until end of project, the delivery of final files.

Standard Video Projects Workflow

Objective: exchanging important information prior, during and after the shoot (clips, feedbacks, approvals,…) to achieve a fast turn around and manage all expectations throughout the project

General Video Production terms & conditions:

  • Dedicated one (1) contact person who will coordinate with the video production team throughout project
  • Production team will provide draft video for approval.
  • There will be maximum of two (2) revisions per video then the final video will be delivered.
  • Extra revision/s beyond the maximum limit will be provided at extra charge.

Pre-Production Requirements

  • Project Brief?
  • Number of hours or days of shoot?

  • What video format is required (like Full HD 1080p or Standard HD 720p, etc.)?
  • Video production set-up (one or more cameras set-up) ?
  • Are there interviews to be conducted? How many in your list and who will do the interviews?
  • Any preferred music background? (if u have, kindly provide us with it)
  • Video Length? How many videos to be produced? And how long is each one
  • Delivery Deadlines? Do you require on-site video edit or do you need the video after the show?

Follow-up Production Requirements

  • Approved audio selection
  • Shoot list (like Stand names, sponsors, exhibitors, conferences, etc)?
  • Graphics – logos, fonts, position, size
  • Texts or wordings to be superimposed in the video, position, size
  • Names of interviewees
  • Deadline/s?

Post Production (via our Video Content Delivery Platform)

  • Our online application is designed for desktop use and a wide variety of smartphones, tablets
  • View and work with it wherever and whenever you like
  • Sign in with the given username and password (set your time codes and comments accordingly)
  • two (2) weeks will be given to review each draft and each revision to return with your feedback
  • Your feedback will be automatically time stamped and marked on the timeline.  Participants can respond to comments, start a conversation to clarify further details or requests and practice good decision making

What is Your standard video filming format?

Our standard is full HD (1080p) in 25 or 30 fps (frames per second) depending on your requirements and used equipment. Kindly inform us if your need other formats or fps video standard we would be glad to help You accordingly.

What type of gears do You use for filming?

Depending on type filming, action we would mostly use DSLRs like Canon 5DMkiii or Canon C100Mkii and other standard Broadcast film cameras, Osmo, GoPros along with different accessories like slider, glide, lighting and audio equipment.

When can we get our final video?

Pre-Production & Briefing

What should be included into a video brief?

Your video brief should include general information about the event, things to shoot and related schedule, style of filming & editing, purpose of usage, target audience, how many clips and their length, single or multiple cameras filming, required interviews, audio recording, Delivery Deadlines.

What do we need to prepare before the shoot?

Permits if necessary, a shot list according to your requirements, audio approval for editing, provide graphics, corporate fonts, etc.

Do You require to record audio (professionally)?

Not all filming jobs require to record audio for later use during the editing process. Depending on your brief and setup on site (audio technician and mixing desk available / or not) we would use specialized audio gear (field mixer, lapels, boom mics,…) to record audio professionally or hire an additional audio technician for the shoot.  For example during Awards and Conferences we require support from your event audio technician to gain access to a good quality audio feed from their mixing desk.

Pricing Overview

Generally we differentiate between short & long term time lapse.

For short term time lapse there will always be a camera operator onsite which can last from minutes to multiple hours. This scenario will be paid by man hours required therefore and is ideal for public time lapse camera installation setups which can not be left alone.

However long term time lapse requires a recce to find the best viewing spot which is ideally inaccessible to public movements. Cameras are setup with a weather proof housing and an extra sunshield specifically for hot summer month. Additionally we fix a notice next to camera stating its purpose, activity duration, contact details of operator as well property management NOC/Approval for the filming in the designated area. Depending on the total duration of time lapse project we carefully put (in)-dependant power supply, safe location from the elements as well public movements into consideration. Every time lapse project varies from each other and it is essential to visit the site, study sun movements in relation to camera positions and main documentary subject.

Would You need a recce?

Long term time lapse require a recce to find the best viewing spot which is ideally inaccessible to public movements but still accessible by our team to do needed maintenance and checkups regularly at any time of the day. Prior to installing any time-lapse cameras it is crucial to meet Event Operations to figure out that nothing during a build up for example will accidentally block the camera.

What is Time-Lapse?

It is a photographic technique where images are sequentially taken at set intervals to capture changes in the scene that take place slowly over a long period of time. When played back in normal speed, time appears to be moving faster. Examples are: crowd/traffic in motion, construction build-up, cloud formations, etc.

How about permits?

What do i need to prepare before the shoot?

Your brief should include an overview of the project, site descriptions, required duration and your expectations and purpose of the time-lapse as well final video length. Our team will then visit your site for recce to do some test shots for your approval to find best possible and safe position to mount the Time-Lapse camera system.

How and where do you install the camera?

Our team will recce your specified location for vantage points, in relation to the position of the sun, main activity area overview and available structures, mounting possibilities as well protected areas from general public movements to be sure finding a save as well visual strong position accordingly.

How long does it take to install?

This depends on the number of camera installations, mounting, specific locations and how they will be powered. During installation we run a test and You instantly receive a photo via email which requires Your approval in order for us to activate the time-lapse capturing process.

How long do you keep the time-lapse camera filming onsite?

Depending on Your needs anything from minutes, hours, days, weeks, month or even years for long terms construction documentaries. In order to capture the complete process it is very useful to start prior to beginning of event setup  for example and finish a while after your event concluded.

How about at night, do you still continue recording?

Recording duration and frequency is fully customizable and as long something interesting is happening during night why not capturing it. All depends on your overall projects capturing duration and final video requirements.

What cameras do you use?

With the advancement of technology in photography, versatile smaller cameras are becoming more powerful. Like GoPros are industry standard cameras that can take brilliant images in high definition quality. Easy to install and doesn’t need much space and can be powered by standard socket, solar setup or with lithium power packs. However for shorter time-lapse duration, less than one day, we offer using high-end DSLR for capturing.

What about multiple camera set-up?

Depending on your project requirements we recommend multiple camera set-ups for more variations in angles adding more value to your video project.

Does your camera system requires maintenance?

Depending on duration, camera setup, power solutions & automated image transfer to dedicated webpage it is required to visit the camera more or less frequent.

What if we want to highlight specific scene or time?

Depending on our camera setup and programming it is possible to change the frame rate or time intervals during the camera operation and therefor we will be able to create more content and highlight specific moments during editing.

Is it possible to change the camera angle or position during the Time-Lapse recording?

In order to not disrupt the recording we generally recommend You to request for another camera set-up instead. Otherwise if you wish to discontinue the recording and change the camera position we are certainly able to arrange that however, there is no guarantee to place camera back in the exact same position previously used.

Can I request music for the Time-lapse video edit?

Certainly, music can add value to your video content, thus enhancing viewing experience to your time-lapse video. However selecting the right music is as essential as the video edit itself. We can offer royalty-free music or offer you buying a licensed soundtrack.

How long will be the final video?

There is no specific length for time-lapse videos but it is essential for us to know from your briefing how the clip will be used to customize the capture settings accordingly to take enough material for the final editing. A standard video runs about 25 frames-per-second therefore we need to record 25 photos spread overtime to create one second of video clip. However 25x pictures can be taken in the matter of minutes, hours, days, weeks or months and this describes the speed of time for your time-lapse clip. The duration of your final clip depends on your purpose and edit the taken photos.

What if i want to integrate normal video within the Time-Lapse?

Time-Lapse video is not much different from normal video and can be compiled together into a final edit with other Video clips.

How do I get the final Time-Lapse video?

Depending on the final video length and rendered quality and size we offer anything from download links, USB, DVD or hard drive delivered by courier to Your office.

Pre-Shoot Requirements

What needs to be considered when selecting the right music for the video project?

For internal publishing purpose only we are happy to add any audio background You like. However when publishing externally, broadcast, online platforms like You-Tube etc… it is mandatory to select music which is royalties free or includes a purchased usage license therefore.

What other materials do You require?

In order to have a smooth post production workflow it is essential to have all approved graphics, logos, corporate fonts, layover text and their positions and appearance available with us prior to the filming.

How do you organize interviews?

Prepare questionnaire and list all interviewees and schedule them as per production team time scale recommendations as well clarify who will conduct the interview itself. This can be one of your staff or we are hiring a professional in this field for an extra charge therefore.

What about filming permits?

Kindly share your requirements as early as possible with your briefing to asses if which permits will be needed accordingly. Find a few examples below.

For events we would need the right access media accreditation to freely do our work.
For Property and Venues we would require a (Security) NOC & Access Permit for the buildings including Property Management area we intend to film.
For Landmarks and public places in Dubai a Dubai Filming Television Commission (DFTC) permit & in the emirate of Abu Dhabi a Abu Dhabi National Media Council permit is required.
For high security facilities like airports,… an additional Dubai Police HQ clearance is needed.
For aerial filming we need DFTC permit, Ministry Defense clearance, Dubai Police, property owner NOC.

Why do You need a producer?

Especially for large & multiple day events the team requires a dedicated person (The Producer) to overlook, organize, manage all tasks and activities happening from start until the end of the project.

Production

Do You have specific logistic requirements onsite?

We always appreciate the closest possible parking to unload our heavy equipment along with available Access Cards or Badges. Generally it depends on your requirements and our equipment volume and shooting setup, lighting and onsite editing suite etc. if we would need a dedicated room and available power supply therefore.

Post Production

What if I have extra editing requirements?

Kindly refer to our timeline table clarifying all matter related to time frame, mile stones and their editing expectation and deliverables. In case You do have extra editing requirement beyond our standard video project workflow an extra editing fee applies depending on the additional scope of work.

How do You deliver the Final Video?

Usually we render a low res & high res version of the final edited video and deliver the same according to your request and suitable delivery tools on hard drive, USB, DVD or via a download link.
